Information you send us

When you request an estimate, we collect the name, phone number, email address, property address, project type, details, and any photos you choose to attach. We also receive basic technical information needed to operate and protect the site, such as an IP address, browser information, and request time.

Permanent quote records

Estimate and quote requests, including their submitted information and photos, are retained permanently so we can keep an accurate business record, respond to your project, honor warranties, and maintain service history. A quote may be marked closed when the work is complete or the opportunity has ended, but closing a quote does not delete it. We do not provide a self-service deletion option for these business records.

How we use your information

We use request information to contact you, evaluate and quote work, schedule service, answer questions, maintain business records, improve our services, and protect the website from abuse. We do not sell your personal information.

Who can access it

All active, authorized Poly Flow staff members may access quote requests when needed for their work. We may also share information with service providers that help us operate the business, such as email delivery, website hosting, database and storage providers, security, and professional advisers. These providers may process information only to provide services to us and under their own privacy and security practices.

Photos and metadata

Photos may contain embedded metadata, such as the date, device, or location at which a photo was taken. Uploaded photos are kept private and access-controlled, and we limit accepted file types, file sizes, and image dimensions. Embedded metadata may remain in an uploaded file, so please remove location or other information you do not want to share before uploading it.

Security and retention limits

We use reasonable administrative, technical, and organizational safeguards, including access controls and protected storage. No website, transmission, or storage system is completely secure, and we cannot guarantee absolute security. Under our current policy, quote records are retained permanently; marking a quote closed does not delete its record.

Children

Our services and website are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child provided information, please contact us so we can review the situation.

Changes to this policy

We may update this policy as our practices, services, or legal obligations change. The “Last updated” date above identifies the current version. Material changes will be posted on this page.
